The Sanford Burnham Prebys (SBP) Cancer Center has a position opening for Project Administrator. The Project Administrator works closely with the Cancer Center Director and Associate Director, Cancer Center Administration to manage the day-to-day operations of the Cancer Center and to ensure related projects are delivered on time with final deliverables. The position maintains confidentiality of privileged information and performs a wide range of duties that require tact, sensitivity, independent judgment, diplomacy, discretion and flexibility.
Primary Responsibilities
· Develops and manages project schedules and work plans
· Develops and maintains databases and other systems to track information and generate reports
· Catalogues and maintains working files relating to projects, Center and organizational activities and other administrative topics
· Reviews and archives various presentations, documents, and records in accordance with records management policy and procedure
· Serves as primary point of contact for the Cancer Center by interacting on behalf of the Director and the Center
· Updates and maintains various websites and social media accounts connected with the Cancer Center
· Schedules meetings, retreats and other Cancer Center activities; prepares agendas, meeting materials and takes minutes
· Prepares, edits and distributes Center-wide communications, which may include Center reports, letters of intent to collaborate, stewardship reports for external relations, and non-science sections of grants as needed and responses as directed, including sensitive or confidential items
· Plans and coordinates events
· Assists with the non-competing renewal each year in addition to the competing continuation renewal grant every five years
· Assists with the financial oversight, analysis and planning for the Cancer Center Support Grant and Shared Resources
· Processes check requests and supports payment of vendor invoices for outsourced and other activities
· Coordinates and tracks completion of personnel activities for the Center including hiring and termination procedures, performance reviews, training and development resources
Required Experience
· Bachelor’s degree and five years’ progressively responsible administrative experience
· Advanced degree and seven years’ experience preferred
· Experience with NCI-designated Cancer Center administration or managing large collaborative grants preferred
· Experience with research administration including preparation of grant proposals, funding agency requirements and budgets preferred
Knowledge, Skills, and/or Abilities
· Knowledge and ability to interpret grant requirements/regulations and funding agency guidelines
· Ability to maintain a calm and composed demeanor, exercising sound professional judgment and absolute discretion to effectively address sensitive issues
· Effectively and diplomatically communicates with all levels of management, administrative and scientific staff among internal and external institutions
· Able to use sound judgement in determining and managing competing priorities
· Works independently with minimal supervision and under strict deadlines while managing a variety of projects of various complexities
· Possesses strong analytical, time management and organizational skills, excellent verbal/written communication and interpersonal skills, professional proficiency in Microsoft Office, Adobe Photoshop, and the ability to learn department-specific computer systems
